Microsoft 365: increase efficiency in 7 steps

Microsoft 365 – business apps and collaboration in the cloud

We are used to our data being available at any moment – and our clients expect the same. Storing documents locally and classic office suites installed on a single computer no longer match the way we work today. Microsoft 365 (formerly Office 365) brings familiar apps, business e-mail, Microsoft Teams and cloud storage together in one subscription.

1. Easy collaboration

With OneDrive and SharePoint you share documents with colleagues, freelancers and partners, and several people edit the same file at the same time. No more sending versions by e-mail or wondering which file is the latest. SharePoint team sites bring a project’s documents, videos and information together in one place, wherever people are.

2. Work from any place and any device

Word, Excel, PowerPoint and Outlook are available in the browser and on mobile, and in the Business Standard and Business Premium plans also as desktop apps – on up to 5 PCs or Macs, 5 tablets and 5 phones per user. Whether you work from the office, from home or in the field, your documents are always at hand.

Microsoft 365 is available on computer, tablet and phone

3. Communication in one place

Good communication is the foundation of good business. Microsoft 365 offers:

  • business e-mail on your domain (name@yourcompany.com) with Outlook and Exchange, with spam filtering and malware protection,
  • Microsoft Teams for chat, calls and video meetings with colleagues and clients,
  • shared calendars and appointment booking with Microsoft Bookings.

4. 1 TB of cloud storage per user

Data loss is one of the most serious things that can happen to a company. With OneDrive every user gets 1 TB of cloud storage, so you no longer need to keep files on a USB stick that is easily lost. Data is available at any time, from any device, and you decide who has access.

5. An internal network for employees

With Viva Engage (formerly Yammer) your company gets its own internal social network for employee communities, announcements and conversations. Only authorised people have access, so sharing information is safer than on external channels.

6. Security and less downtime

Downtime – when computers or systems don’t work – often costs companies dearly. Because everything in Microsoft 365 is stored in the cloud, you can carry on working from another device, and Microsoft financially guarantees 99% service availability. Multi-factor authentication protects user accounts, and the Business Premium plan adds advanced protection for devices and sensitive data.

7. Familiar tools, helped by AI

Let’s be honest – we all know how to work in Word and Excel (at least that’s what our CVs say). That is why Microsoft 365 needs no lengthy staff training. What’s new is Copilot, Microsoft’s AI assistant that helps you write, summarise and analyse data; in higher plans it works directly in Word, Excel, PowerPoint, Outlook and Teams.

Which plan should you choose?

  • Business Basic – web and mobile apps, business e-mail, Teams and 1 TB in the cloud. For teams that work in the browser.
  • Business Standard – everything in Basic, plus desktop apps and Copilot in the apps.
  • Business Premium – everything in Standard, plus advanced security and device management.

All plans are for companies with 1 to 300 users. Read more about the plans on the Microsoft 365 page, and if you want to make your team more efficient, send us an enquiry – we will be happy to advise you on the ideal plan.
